What Does It Cost to Host?

Program Fees: $0

  • Zero recruitment or placement fees for most host organizations.
  • Host Organizations generally pay no placement or sponsorship fees. These costs are covered by the participant.

Participant Stipend: Required

  • Arrival Funds: Participants must have a minimum of $2,000 USD in personal funds upon arrival for incidental expenses and housing deposits.

  • Monthly Stipend: $2,500 – $3,000+ per month (depending on location and industry) to adequately cover the participant’s living costs.

Site Visit Fee: $250 (Conditional)

  • Per Department of State regulations, a physical site visit is required only for host organizations that have fewer than 25 employees or less than $3 million in annual revenue. If your company meets these criteria, a one-time fee of $250 applies.

Tax Savings: Exempt

  • Host Organizations are generally exempt from FICA (Social Security) and FUTA taxes for J-1 participants, providing significant payroll savings compared to local hires.

A site visit is a U.S. Department of State requirement for host organizations that have fewer than 25 full-time employees or less than $3 million in annual revenue. If your company meets this criteria, Vista J-1 Exchange will conduct a one-time site visit (which includes a $250 fee) to verify your facilities before the program begins.

 

Generally, no. J-1 Exchange Visitors are considered non-resident aliens for tax purposes. This means they are exempt from paying Social Security, Medicare (FICA), and Federal Unemployment (FUTA) taxes for their first two calendar years in the U.S. However, they are still subject to standard federal, state, and local income withholding taxes.

 

Form DS-7002 is the official Training/Internship Placement Plan (T/IPP). Required by the Department of State, this document outlines the specific phases of training, the skills the participant will learn, and the supervision they will receive. Vista J-1 Exchange will guide you through creating a compliant plan.

 

Yes. Host organizations must provide Worker’s Compensation Insurance that covers the J-1 participant during their training, just as you would for a standard U.S. employee (or provide an official proof of exemption if your state laws do not require it).

 

Host companies are required to submit formal evaluations to Vista J-1 Exchange to ensure the participant is progressing. For programs lasting longer than six months, both a mid-point and a final evaluation are required. For programs shorter than six months, only a final evaluation is required.

 

Yes. The J-1 program is designed for professional and cultural exchange, not regular employment. Participants cannot be placed in unskilled labor positions, and no more than 20% of their duties can consist of clerical tasks. Their daily activities must strictly align with the approved DS-7002 Training Plan.
